What's Inside the Template

How to Fill Out a Profit & Loss Statement

  • Revenue — total sales for each month, split into product/service and other revenue. Use invoiced (accrual) amounts for a true performance picture; see our guide to accrual vs cash accounting for why this matters.
  • Cost of Goods Sold — only costs directly tied to what you sold: materials, direct labor, fulfillment. Rent and marketing do not belong here.
  • Operating Expenses — everything else: salaries, rent, marketing, software, insurance, professional fees.
  • Read the margins — the template computes gross margin and net margin per month, so trends (and problems) are visible immediately.

Profit & Loss Statement Example, Explained

Open the Filled Example tab and you'll see a business doing roughly $52K/month in revenue by year end. Notice three things a well-kept P&L reveals that a bank balance never will: gross margin holds steady near 50% (pricing and direct costs are under control), operating expenses stay flat while revenue grows (operating leverage — each new sales dollar is more profitable than the last), and net margin climbs from about 12% to 18% across the year. That trend line — not any single month — is what lenders, investors, and good operators actually read.

Why a Spreadsheet P&L Eventually Isn't Enough

This template is a genuinely solid monthly P&L — but it depends on you categorizing every transaction correctly and consistently. As volume grows, the spreadsheet becomes the bottleneck: transactions get miscategorized, months get skipped, and the "quick update" takes a weekend. That is the point where proper bookkeeping pays for itself: your P&L, balance sheet, and cash flow arrive finished every month, accrual-accurate, with a professional reading the story in the numbers. Is this profit and loss template really free?
Yes — free for personal and commercial use, in Excel format, and it works in Google Sheets too (File → Import). We ask for an email so we can send you the file and occasional practical finance tips; you can unsubscribe any time.
What is included in a profit and loss statement?
Three sections: revenue (what you earned), cost of goods sold (direct costs of what you sold), and operating expenses (everything else it takes to run the business). Revenue minus COGS gives gross profit; subtracting operating expenses gives operating income; after interest and taxes you reach net income.
How is this different from an income statement?
It isn't — 'profit and loss statement', 'P&L', and 'income statement' are three names for the same report. Lenders and accountants use them interchangeably.
How often should I prepare a P&L?
Monthly. An annual-only P&L tells you what happened too late to act on it. The template is built month-by-month with an automatic annual total for exactly this reason.
Does the template work in Google Sheets?
Yes. Upload the file to Google Drive and open with Google Sheets, or use File → Import inside Sheets. All formulas are standard and carry over.
What if my numbers don't look right?
The most common issues are costs sitting in the wrong section (COGS vs operating expenses) or missing entries. The 'Filled Example' tab shows a complete correct year to compare against — and if you'd rather never build this by hand again, monthly bookkeeping is exactly what we do.
